Job Description:

Position is a dual role to be worked both onsite and remote.

Hours: Mon - Fri Days

Job Summary:

The Genetic Assistant will serve as the primary point of contact for CTCA patients and caregivers, stakeholders and external laboratories and will coordinate the logistics of genetics services for patients across CTCA and external laboratory interfaces.

Job Responsibilities ?

  • Assist in clinic flow, ensure genetics consult and follow-up orders are completed/scheduled, contact patients in advance of consults when applicable, coordinate in-person and videoconference genetics consults and follow-ups, facilitate regular and open communication with physicians, stakeholders, scheduling and other internal departments through emails, phone calls, skype and meetings as necessary for timely service delivery, ensure appropriate documentation is in patient charts for genetic counselor review prior to consults and genetics documents are scanned into EMR, request and gather external medical records.

  • Investigate insurance coverage for genetic testing for patients, including prior authorizations, write letters of medical necessity for genetic counselor review, submit and follow up on benefit investigations/prior authorizations, communicate insurance information to patients, assist with patients’ post-genetic testing insurance questions, submit appropriate records to genetic testing labs to support genetic testing.

  • Coordinate genetic testing sample collection with guidance from genetic counselors, complete genetic test requisition forms, work with CTCA lab for sample receipt, coordinate the safe package/send out of samples to the appropriate lab, track samples for receipt by genetic testing labs, gather/receive genetic test results and provide to genetic counselor for review, facilitate results communication with appropriate clinicians, and coordinate results disclosure appointments when appropriate, mail out results summary letters to patients and write variant of uncertain significance reclassified to negative letters with genetic counselor supervision.

  • Perform medical literature searches, utilize National Society of Genetic Counselor Cancer Special Interest Group literature searches, request and gather relevant journal articles and other educational materials for genetic counselor review.  Track genetic counselor licensure renewals, request payment for and submit all necessary documentation for licensure renewals, assist with finding opportunities for and registering genetic counselors for genetics continuing medical education and monitor earned continuing medical education hours for licensure and recertification needs.

  • Manage genetic counseling and testing trackers and data. Tracking and data gathering to include, but not limited to, cases requiring special attention, cases with delayed turnaround times through the laboratory, utilization of genetic services, and others as directed by the genetic counselors.

  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.  Leverage training and critical thinking, link those needs with appropriate resources.  Contribute to team efforts by accomplishing tasks and producing results in required timeframes.  Support and assist genetic counselors and relevant CTCA stakeholders in of genetic counseling operations for the continued satisfaction of patients, their families, caregivers and fellow stakeholders.

Skills, Education and Additional Information ?

  • Bachelor’s degree required, focus on science (genetics, biology, or other) preferred.

  • Minimum 2 years’ experience in a customer-oriented position, preferably in an office environment, required.

  • Minimum of 2 years’ of professional experience in multi-faceted online computer applications required. 

  • Minimum of 1 year experience in a healthcare setting preferred.

  • A successful candidate will have strong organizational, problem-solving and interpersonal skills, and the ability to work as part of a team.   

  • Experience with MS Teams, Outlook, Adobe Sign, and Progeny helpful.
